JOB DESCRIPTION

JOB TITLE: Excursion Agent

COMPANY: Calypso Tours Ltd

DEPARTMENT: Calypso Excursions

REPORTS TO: Operations Manager

PURPOSE:

Organising and preparing all aspects of the company’s shore excursions program and Calypso daily operations.

RESPONSIBILITIES:

  • Assist in organising and programming, in close cooperation with the Manager/Senior Shore Excursion Agent and the Transport Manager/Supervisors, all matters relating to the Shore Excursions Program and Calypso Tours Daily operations.
  • Liaising with the accounts department for Invoicing and other miscellaneous accounting entities.
  • Administration of incoming reservations.
  • Maintaining passenger statistics.
  • Deal with customer care issues promptly in the Manager's absence.
  • Deal with incoming correspondence.
  • Demonstrate an excellent telephone manner and communication skills, both written and verbal, in dealing with customers and suppliers.
  • Collaborate with the Accounts department with regard to invoicing, wages, and all other accounting matters.
  • Prepare ticketing for the final passenger participation statement or collection of cash for the day's excursions.
  • Ensure that the excursion schedule opens the sites to be visited.
  • Inform Cable Car Stations of early opening days as required.
  • Prepare all staff excursion pre-departure requirements.
  • Attend to Tours despatch for the Shore Excursions.
  • Demonstrate an understanding of the Company’s practices and apply this knowledge to streamline procedures.

In addition to the above, the jobholder will be required to perform other duties that the directors may assign occasionally.

In carrying out all the above, the job holder will always adhere to ISO9001 objectives and will comply with all departmental and company requirements, procedures and policies as stated in the Quality Manuals. A clear understanding of the Quality Manuals and Work Instructions is essential. At all times, the jobholder should operate in the interests of the company and its customers.

REQUIREMENTS:

  • Educated to bachelor’s degree level (preferred)
  • Bachelor’s degree in Tourism or Hospitality Management (advantageous)
  • Previous experience as a Shore Excursion Agent (advantageous)
  • Previous experience in Event Bookings and operations (advantageous)
  • Sales experience (advantageous)
  • Travel experience and knowledge of ports and tours.
  • Must be assertive, decisive, and able to take immediate action when necessary
  • Must be computer literate and proficient in Microsoft Office
  • Must be proficient in English and Spanish; knowledge of additional languages (advantageous)
  • Must hold a clean driving licence Class “A” and “B”
  • Excellent communication skills (oral & written)
